Vacancy Announcement Number 12-AR-AM-70 Grade 10 Deadline for Applications 30 October 2012 Duty Station HQ Amman, Jordan
The incumbent of this post is responsible to theChief Budget Division.Primary Duties and Responsibilities · Perform typing and MS Office duties using the appropriate computer software;· Receive and sort incoming mail; ensure supervisor/s is aware of items of special interest; locate and attach referenced background material; distribute to staff members as appropriate; make photocopies of material required; classify and files documents including confidential material and dispatches mail;· Carry out routine actions requiring the gathering and compiling of files and other information; contact other organisations, departments and units to obtain or co-ordinate material or information as and when required;· Maintain and update a computerized system (consolidated list of documents on shared drive) of all incoming and outgoing documents and information and its follow-up status with internal staff;· Monitor annual and short-term requirements for office supplies; collect information on office needs; prepare orders and keeps track of such requirements for budget preparation and monitoring purposes, where appropriate;· Monitor the schedule/s of supervisor/s and arrange for meetings and appointments; screen visitors and telephone calls for supervisor/s; bring forward matters to the attention of supervisor/s including deadlines and pending matters and handle routine correspondence, as required;· Arrange for and may attend meetings as requested; may prepare summaries of such meetings upon instruction of supervisor/s and undertake resulting follow-up action.Professional Knowledge and Experience· Completion of full secondary education;· Completion of a post secondary secretarial course of at least one year’s duration;· MS Office applications including MS Word, MS Excel and MS Access;· Five years experience in secretarial work, Applications from holders of university degree in business administration with two years experience will be accepted;· Good command of written and spoken English and Arabic. Competencies· Basic drafting skills in English;· Good organizing skills;· Interpersonal skills;· Confidentiality;· Knowledge of protocol norms.Desirable Qualifications· Knowledge of UNRWA Staff Rules and Regulations.Equivalency When the minimum requirements are not met, the Director of Human Resources, in consultation with the Director concerned, may exceptionally substitute part of these requirements with a combination of relevant academic qualifications, professional training and progressive work experience.Conditions of Service The fixed term appointment is for 3 years including 1 year probation period. Monthly basic salary starting at JD 598.30.Other benefits include monthly Provident Fund contribution (15% of basic salary paid by the Agency), compulsory medical insurance, 30 days of annual leave, and dependency allowance (if applicable
