The incumbent is responsible to Head PF Accounts and Payments Section. S/he provides accurate and timely finance support such as preparing reports, co-ordination of meetings along with financial analysis and reviews to support the daily operations of the PFS. In accordance with Agency policy and procedures, the incumbent:
Primary Duties and Responsibilities · Ensure that internal and external reports are produced/received in time, production of reports as required; assists in reviewing financial reports and importantly cash flow forecasts; · Receive and sort incoming mail; ensure supervisor is aware of items of special interest; locate and attach referenced background material; distribute to staff members as appropriate; make photocopies of material required; classify and file documents including confidential material and dispatches mail;· Carry out routine actions requiring gathering and compiling of files and other information; contact other organisations, departments and units to obtain or co-ordinate material or information as and when required;· Maintain and update a computerized system, including consolidated list of documents on shared drive, of all incoming and outgoing documents and information and its follow-up status with internal staff;· Monitor annual and short-term requirements for office supplies; collect information on office needs; prepare orders and keep track of such requirements for budget preparation and monitoring purposes, where appropriate;· Monitor supervisor’s schedule and arrange for meetings and appointments; screen visitors and telephone calls; bring forward matters to the attention of supervisor including deadlines and pending matters and handle routine correspondence, as required;· Arrange for and may attend meetings as requested; may prepare summaries of such meetings upon instruction of supervisor and undertake resulting follow-up action.Professional Knowledge and Experience· Completion of full secondary education;· Completion of a post secondary secretarial course of at least one year’s duration;· MS Office and ideally familiarity with GF AP processes; · At least five years’ experience in the office management;· Experience in MS Office and a mid tier GL application;· Good command of written and spoken English and Arabic. Competencies· Basic drafting skills in English;· Good organizing and interpersonal skills;· Good communication skills;· Ability to take initiative and maintain cordial relationship with all concerned;· Confidentiality.Desirable Qualifications· Knowledge of UNRWA Staff Rules and Regulations.Equivalency When the minimum requirements are not fully met, Field Director for Field Area staff and Director of Human Resources for Headquarters Area staff, in consultation with the concerned supervisor may exceptionally substitute part of the unmet requirements with a combination of relevant academic qualifications, additional professional training and progressive relevant work experience.NB: Work experience alone or formal qualifications with no relevant work experience are not considered an acceptable combination.
Conditions of Service The fixed term appointment is for 3 years including 1 year probation period. Monthly basic salary JD 598.30. Other benefits include monthly Provident Fund contribution (15% of basic salary paid by the Agency), compulsory medical insurance, 30 days of annual leave, and dependency allowance (if applicable).
