The incumbent of this post reports to the Head Administrative Unit.
Primary Duties and Responsibilities Perform receiving and inspection duties at the HQ compound; Gather statistics on work load and efficiency gains which may include reduces transport costs and reduced need for specialist HQA staff to travel to JFO Supply Compound to inspect non-standard items and perform receipt and inspection of goods received at HQA in respect to Quantity; Maintain R&I records; Appropriately bar-code all assets received at the HQ and perform the necessary data entry; Coordinate the received items to the requesting Departments , freeing up JFO staff from duty; Update all of the barcode data in the existing system and compare to the information in the Dixed Asset Module of RAMCO for all HQA assets; Train on the new Barcode system as soon as it is implemented ; make any changes to the assets as required; Provide support to the HQ Departments on the disposal of redundant assets and property which has been accumulated; Manage receipt , bar coding and issue of new assets; Identify the Physical type , location , size and limitations of all store maintained by the Departments at HQA, Quantify the contents and itemize the contents of each store; Identify the physical type, location , size and limitations of archive; Incoordination with the departments provide a brief description of the archive, an assessment of the frequency that the archives are accessed by staff , identification of redundant components, duplicates , and quantities over 5 years in age with an assessment of their use; Prepare a final report of the feasibility of consolidating standard commodities found in existing stores into one centralized and single store; Prepare an estimate of the amount of savings that could be achieved over the next biennium by consolidating; Preparation of an estimate of the amount of space this consolidation would free up in existing facilities in HQA. Professional Knowledge and Experience A university degree in business, procurement, logistics, social sciences from accredited institution ; Two years in clerical , administrative, data reporting and compiling related to office management, procurement , logistics or business operations; Excellent command of written and spoken English.Competencies Ability to operate computer software such as MS Word, Excel; Excellent technical English writing skills; Ability to work under pressure. Equivalency When the minimum requirements are not fully met, Field Director for Field Area staff and Director of Human Resources for Headquarters Area staff, in consultation with the concerned supervisor may exceptionally substitute part of the unmet requirements with a combination of relevant academic qualifications, additional professional training and progressive relevant work experience.NB: Work experience alone or formal qualifications with no relevant work experience are not considered an acceptable combination.Conditions of Service This limited duration contract is for 6 months (renewable). Monthly basic salary JD 649.20. Other benefits include compulsory medical insurance, 30 days of annual leave, and dependency allowance (JD 15.000 if applicable).
